Special Needs or Assistance

Regalia and Line-Up

Faculty who have reserved regalia with Event Management and Protocol, should pick it up at Hatlen Theater (map) in Theater and Dance beginning at 2:45 p.m. on Sunday, June 18. Please allow for extra time to pick up your regalia as there may be lines. Staff will be available at Hatlen Theater and on the patio outside Theater and Dance to assist you with your regalia and in lining up. Please return your regalia to Hatlen Theater once the ceremony concludes.

Faculty who own their own regalia should plan to arrive at the Hatlen Theater by 3:00pm on Sunday, June 18.

Assembly and Marching Information

As part of the Chancellor's Platform Party, you will line up just outside Hatlen Theater on the side of Theater and Dance overlooking the Faculty Club Green. If you are also hooding, your student(s) will report to the Events Center to march in the student procession.

Departure Times for the Processions

The student-faculty procession will leave the Events Center at 3:40 p.m. The Chancellor's Platform Party will leave Theater and Dance after the student procession has reached the Faculty Club Green at 4 p.m.

Timing of Hooding

The hooding of doctoral candidates will begin around 5:00 p.m., ​before the conferral of Master’s degrees. Students whose faculty is seated with the Platform Party will be dispersed throughout the line-up that assembles and marches from the Events Center. Staff will be on the platform to coordinate the movement of faculty and students across the platform.

Hooding

 

We have made some changes to the hooding procedure; the new procedure is outlined below. We appreciate your cooperation in ensuring an expeditious process.

  1. Marshals will signal when the time arrives for faculty and doctoral candidates to proceed to the platform.  The candidate will hold the hood. A staff member will be positioned near the platform to ensure that the hood is:
    1. unbuttoned, and
    2. positioned to hand off (draped over the left arm).
  2. The candidate will hand their name card to a staff member at the top of the ramp. When the announcer takes possession of this card, the faculty member and candidate should proceed across the stage.
  3. An Associate Dean (either ​Mary Hegarty or ​Bruce Kendall) will meet the student part way across the stage and take the hood. S/he will accompany you and the student to the spot marked with an X, where the hooding will take place in front of a photographer.
  4. The Associate Dean will hand you the left side of the hood and the two of you will co-hood the student, lifting the hood over the candidate's head to place it in the appropriate position. If you will be hooding the student with another faculty member, the Associate Dean will hand the hood to both of you so that it is ready to be quickly put into place.
  5. As soon as the hood is in position, the student will shake hands with the Graduate Dean (or, for the first few students, the EVC) and then proceed directly to shake hands with the Chancellor.
  6. If you are not hooding another student, then proceed with your student across the stage and down the ramp. A photographer will be waiting to take your picture as you congratulate your student. If you are hooding multiple students, you may wait by the X as your next student(s) processes, meets the Associate Dean, and joins you.

Note.

Re-buttoning and arranging of the hood should take place after the graduate and faculty member have left the platform. Special celebrations (hugs, pictures, exuberant cheers) may take place off the platform at the bottom of the ramp.

 Additional Information

  • Sunglasses and sunscreen are recommended because of the late afternoon sunshine.
  • Faculty are encouraged to use the parking lot they normally use during the academic year.
  • Post-ceremony planning: The ceremony should conclude by 6:30 p.m.
