Frequently Asked Questions

In Absentia policy allows students conducting their research or studies away from the University to receive a fee reduction, while maintaining full-time student status.

Students who are approved for In Absentia registration will receive a reduction of 85% of the combined Tuition, Student Service Fee, and Campus Fees. Nonresident Supplemental Tuition and graduate student health insurance fees remain unchanged. For the updated fee schedule, go to the Registrar's Summary of Quarterly Fees and Expenses.

Students using In Absentia registration must adhere to Registrar's quarterly registration and fee payment deadlines. Missing deadlines may result in late fees or lapsed status.

Eligibility

  • Research or coursework must be directly related to the student's degree program as evidenced by faculty approval
  • Research or coursework must be of a nature that makes it necessary to be completed outside of California for the full academic quarter
  • Doctoral students must be advanced to candidacy by the time the In Absentia status would begin
  • Terminal master's and graduate professional students must have completed at least one year of coursework by the time the In Absentia status would begin

Duration

In Absentia registration status may be granted for:

  • Up to two years for doctoral students, with the second year requiring special exception by the Graduate Dean
  • Up to one year for master’s and professional students

If requesting In Absentia registration beyond the first three quarters, along with a completed petition, students must submit a brief letter of support from their personal faculty advisor that addresses the following:

  • The rationale for the additional quarter(s), and
  • How this extension will help the student progress toward degree completion.

Terms and Conditions

  • Remain a full-time registered student (registration in a minimum of 8 units required)
  • Tuition, Student Service Fee, and Campus Fees reduced by 85%
  • Remain eligible to receive financial aid
  • Remain eligible to receive funding from central fellowships
  • Remain eligible to hold a graduate student researcher (GSR) appointment
  • Retain graduate student health insurance
  • Ineligible to hold academic appointments other than GSR
  • May affect eligibility for student housing. Contact Housing and Residential Services for details

Returning From In Absentia Registration

In Absentia registration is approved for a set period of time only. Students do not need to notify the Graduate Division when returning from In Absentia registration.

Frequently Asked Questions

Can I take my doctoral qualifying exams while in In Absentia?

No, In Absentia means that you are away from campus for the entire term.


I am not yet advanced to candidacy for my doctoral degree, but my research is taking me outside California. Can I use In Absentia registration?

Possibly. This would be an exception to the policy requiring approval by the Graduate Dean.


I am in a master's program and want to do an exchange program outside California prior to completion of my first year. Can I use In Absentia registration?

Possibly. This would be an exception to the policy requiring approval by the Graduate Dean.


I have taken a job outside of California, can I register In Absentia?

No, In Absentia registration is only for research or coursework related to your degree program.


I have moved outside of California due to family obligations, can I register In Absentia?

No, In Absentia registration is only for research or coursework related to your degree program.


Can I use filing fee the quarter after being on In Absentia status?

Yes, because you are registered on In Absentia.


Can I petition for In Absentia registration the quarter I return from an official leave of absence?

Only if you were on a Medical/Parenting/Family Emergency/Military Leave of Absence and meet the eligibility criteria. Students cannot register in Absentia after a Filing Leave of Absence.


Can I receive my degree while on In Absentia status?

Yes, since you are a registered student.


I will be 500 miles away, but still in California. Can I use In Absentia registration?

In Absentia registration is for students conducting research outside of the state, but an exception may be granted in special circumstances.  Please contact Academic Services Staff for additional information.


I will be a TA in Washington, D.C. with the UCDC program. Can I be In Absentia?

No, you are participating in a UC program.


I will be going abroad with the EAP program. Can I be In Absentia?

No, you are participating in a UC program.


My dissertation chair and I will both be in Europe conducting research at CERN. Can I use In Absentia registration?

No, the policy states that there must be no significant studying or in-person collaboration with UC faculty during the In Absentia period.


I am enrolled in an independent study course this summer. I will be out of the country for the entire six week session. Can I use In Absentia registration?

No, In Absentia registration is for the regular academic year only.
